Start before booking the transport
Export clearance starts with understanding the goods and the transaction. Confirm who will be named as exporter, who is buying and receiving the goods, and whether this is a sale, sample, repair, return or temporary movement. Those details influence the documents and procedure needed.
Check that the exporter’s Customs registration and the broker’s authority are in place. Thailand uses electronic export procedures, but electronic filing still depends on accurate supporting information. Agree who prepares, checks and submits the declaration, and who can answer questions when cargo is ready to move.

Build one consistent shipment file
- Commercial invoice: seller, buyer, goods description, quantity, value, currency and agreed sale terms.
- Packing information: package count, marks, contents, gross and net weight, and packed dimensions.
- Transport details: booking, route, intended departure, receiving facility and transport-document instructions.
- Product evidence: composition, function, specifications and proposed classification where available.
- Conditional documents: export permits, agency certificates or origin evidence where required.
Do not use a vague description such as “parts” when the actual product can be described accurately. A sample or free replacement still needs an appropriate declared value; “no charge to the customer” does not automatically mean zero customs value. Ask the broker how the transaction should be represented.

Check permission at both ends
Thai export permission and destination import permission are separate checks. Product controls can depend on the goods, material, intended use and destination. Arrange the relevant agency review before committing to a departure date; booking cargo space does not establish permission to export.
Ask the overseas buyer or their broker to confirm destination permits, labelling, product standards and importer readiness. Share a draft document set early. A shipment can leave Thailand correctly and still encounter a destination problem if the receiving requirements have not been checked.
Confirm whether export duties or specific charges apply to the goods. Do not assume a treatment simply because a previous product was exported without duty.

From declaration to departure
- Prepare and review the declaration data against the final shipment documents.
- Submit through the agreed channel and resolve any requests or applicable payments.
- Present or move the goods according to the relevant Customs and terminal procedure. Inspection may be required.
- Complete cargo acceptance and loading arrangements with the transport provider.
- Confirm the recorded export/departure outcome and retain the final documents.
These are separate milestones. A submitted declaration is not proof that the goods have departed. Cargo, documentation and terminal cut-offs differ by mode and facility. Ask for the actual deadlines for your booking rather than using a generic number of hours.

Repairs, returns and temporary exports
Tell the broker before shipment if goods are expected to return, were previously imported, or are being sent for repair, demonstration or exhibition. Ordinary sale-export paperwork may not preserve the evidence needed for the intended return or relief procedure.
- Keep serial numbers, photographs and identifying marks for the same goods.
- Provide earlier import/export references, ownership and the reason for the movement.
- Explain what will happen overseas: repair, replacement, processing or use.
- Confirm the procedure, deadlines and evidence required before dispatch.
Eligibility for relief, drawback or temporary arrangements must be checked for the case. Keep the final export file accessible for the buyer, accounting team and any later return shipment. Report short shipments or changes promptly so the records can be corrected through the appropriate process.
